This policy applies to direct bookings made with Villa Akasa through its website, email, WhatsApp, telephone or a Villa Akasa payment link. Bookings made through Airbnb, Booking.com or another platform follow the cancellation and refund terms shown by that platform.
The rate-specific policy displayed before payment and repeated in the booking confirmation always applies. A promotional, group, event, peak-date, long-stay or non-refundable booking may have different conditions if clearly disclosed before payment.
Unless the booking confirmation states otherwise, Villa Akasa's standard direct-booking policy is:
A "day" is counted backwards from 2:00 pm on the scheduled arrival date.
Send the request to villa.akasa@gmail.com or reply to the confirmed booking conversation. State the booking name, arrival date and booking reference. A cancellation is effective only when Villa Akasa confirms receipt in writing.
Where more than one person is named, Villa Akasa may accept instructions only from the booking guest or a person reasonably verified as authorised.
A request to move a booking is subject to availability, minimum-stay rules and the price for the new dates. Any rate difference is payable. A date change is not confirmed until accepted in writing.
Where Villa Akasa cannot approve the change, the original booking remains in force. If the guest then cancels, the cancellation charge is calculated from the original arrival date.
Approved refunds are returned to the original payment method wherever possible. Razorpay and card-network rules generally require source refunds rather than payment to a different card or bank account.
Villa Akasa will initiate an approved refund within 5–7 working days after the refund is confirmed. The guest's bank, card issuer, card network or international intermediary may take an additional 5–10 working days, and occasionally longer, to post the credit.
Exchange-rate differences, issuer fees, foreign transaction charges or currency-conversion movements are controlled by the guest's bank or card issuer and are not refundable by Villa Akasa.
Villa Akasa will provide a refund confirmation or transaction reference on request. A "processed" status means the refund has been sent into the banking system; the final posting time is controlled by the receiving bank.
A payment shown as failed may still appear temporarily as a bank hold. Guests should not immediately repeat a payment without checking the booking or contacting Villa Akasa.
A verified duplicate payment will be refunded in full to the original source. Villa Akasa will initiate the refund within 5–7 working days after verification.
If Villa Akasa must cancel a confirmed booking because it cannot provide the accommodation, the guest may choose, where reasonably available, an equivalent room, a date change, or a full refund of the amount paid for the affected stay.
For force-majeure events such as severe weather, government restrictions, fire, flood, epidemic, civil disturbance or major utility failure, Villa Akasa will offer a fair remedy based on the circumstances, availability and any mandatory law.
Guests should contact Villa Akasa first about an unrecognised, duplicate or incorrect charge so it can be investigated quickly. This does not remove any lawful right to raise a dispute with the bank or card issuer.
Where a chargeback is raised after a refund has already been processed, Villa Akasa may provide the booking, communication, service and refund records requested by Razorpay, the bank or card network.
